We are looking for a highly organized, proactive, and reliable Personal Assistant to become a true right-hand partner to a senior executive manager. This role goes well beyond business and administrative support - you will act as a key business operations partner, helping to streamline processes, manage priorities, and ensure flawless day-to-day execution.
Responsibilities
- Provide comprehensive operational and administrative support to the executive director;
- Fully manage the executive’s calendar, meetings, and commitments with a strong focus on time management and prioritization;
- Serve as the central point of coordination between internal teams, external stakeholders, and partners;
- Manage professional correspondence and coordinate communication with senior stakeholders and partners;
- Oversee сomplex travel support across all continents with coordination of flights, visas, hotels, and logistics;
- Track ongoing tasks deadlines, and deliverables to ensure timely and successful execution;
- Coordinate and oversee personal projects of the CEO, ensuring smooth execution and follow-up on key priorities;
- Act as a trusted partner, providing proactive support across business priorities, strategic initiatives, and day-to-day operations.
Requirements
- Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting Top-management;
- Exceptional organizational and multitasking skills with the ability to handle multiple priorities in a fast-paced environment;
- Comprehensive knowledge of business operations and the functioning of companies;
- Fluency in both written and spoken English and Russian is required; proficiency in Greek is an advantage;
- High level of attention to details, discretion, reliability;
- Proactive mindset with strong problem-solving attitude;
- Advanced proficiency in MS Office and business tools.
