Business Assistant / Operations Coordinator
__We are looking for a Business Assistant who will work directly with the CEO and be responsible for transparency and task execution control throughout the company.
This is a key role at the intersection of operations and execution: you will help build a task management system, synchronize teams, and ensure that all key initiatives are brought to fruition on time.
The role is not about classic administrative support — the focus is on control, coordination, and process efficiency.__
Main Tasks ✔️Company-wide task management: Maintain a unified task tracking system (ClickUp) Structure tasks, initiatives, and projects Set priorities together with the CEO and teams Ensure transparency on all active tasks ✔️Execution control: Track deadlines and statuses of tasks across all departments Regular follow-ups with responsible persons Escalate risks, blockers, and overdue tasks Monitor task completion to the final result ✔️Coordination and communication: Synchronize between teams and departments Liaise between the CEO and the entire company Prepare regular status updates and summaries Participate in internal meetings and document agreements Business Assistant (Personal Support for CEO) Manage CEO's calendar, organize meetings and syncs Coordinate external and internal communications Prepare materials, presentations, and reports for meetings Assist in organizing trips and work events Gather and structure information upon CEO's request ✔️Process optimization: Improve approaches to task management and prioritization Implement best practices for execution and control Increase the operational efficiency of teams
Requirements -Experience in Operations / Project Coordinator / Business Assistant role for 2+ years -Strong task management and systemic thinking skills -Ability to handle a large number of tasks and maintain focus -Experience in execution control and working with deadlines -Communication skills with various stakeholders -Experience with task management tools (ClickUp, Jira, etc.) -English B2 or higher Will be a plus: -Experience in building processes from scratch -Experience in startups or fast-growing companies -Understanding of product or operational processes
