We're looking for an Operations Manager to join our team and take ownership of the day-to-day operations that keep the company running smoothly — from hiring logistics and vendor negotiations to budgets, documents, and cross-team coordination.

What you'll do
- Hiring & Onboarding Operations: Coordinate with recruiting agencies, prepare job descriptions, manage the hiring funnel, send offers, and ensure a smooth onboarding experience for new hires. The processes are in place — your job is to run them efficiently and continuously improve them.
- Budgets & Reimbursements: Handle requests for course reimbursements, conference travel, hardware purchases, and other team expenses. Track budgets and ensure timely processing.
- Vendor & Partner Management: Communicate with external partners and service providers. Negotiate terms, rates, and contracts to get the best value for the company.
- Documents & Presentations: Prepare documents, presentations, reports, and other materials for the CEO and team leads. Ensure everything is polished, on-brand, and delivered on time.
- Events & Team Coordination: Organize corporate events — hackathons, offsites, team meetups. Handle logistics from start to finish: venues, travel, accommodation, schedules.
- Executive Support: Execute various tasks and assignments from the CEO and department heads. Be the go-to person when something needs to get done and no one else owns it.
We're looking for someone who
- Has 3+ years of experience in operations, project management, executive assistance, or a similar role — ideally in a startup or digital agency environment
- Has experience improving and scaling operational processes
- Can make decisions independently and isn't afraid of responsibility
- Has excellent Russian (primary working language) and English at B2+ level
- Has experience with vendor negotiations and managing external partnerships
- Is tech-savvy — comfortable with modern tools (Notion, Linear, Slack, Google Workspace) and actively uses AI assistants to work faster and smarter
- Is skilled at preparing documents and presentations — clear, structured, and polished
- Has worked with budgets and expense tracking
- Is proactive — sees problems before they become critical
- Is comfortable with rapidly shifting priorities and can juggle multiple tasks simultaneously
- Is organized and detail-oriented, while also seeing the big picture

Salary & Contract
- $36k/year gross, paid via deel.com
