The pharmaceutical company PROMOMED is looking for a Head of Administrative and Facilities Department
Responsibilities:
- Material and technical supply (provision): timely provision of production and office departments with consumables: workwear, PPE, gloves, shoe covers, detergents and disinfectants, stationery, household goods, forming purchase requests, interaction with the procurement department/suppliers, control of supply contract execution
- Organization of cleaning and sanitary maintenance: organization and control of production premises cleaning, including "clean zones" (cleanliness classes A, B, C, D) in accordance with approved procedures (shift wipes, disinfectant concentrations, processing sequence), control of cleaning staff (cleaners) and/or contractor cleaning company: compliance with technologies, schedules, consumables, changing and clean zone access rules, ensuring availability and proper functioning of cleaning equipment, its labeling and storage rules
- Waste collection and removal organization: control of collection, temporary storage and transfer of production and consumption waste, including pharmaceutical waste (classes A, B, C if applicable), to specialized organizations, record-keeping for waste management (logs, certificates)
- Transportation support and logistics: organization of employee business travel (company transport) and operational transportation (delivery of consumables, furniture, etc.), control of the technical condition and operation of company vehicles (in interaction with a mechanic or technical service)
- Personnel and contractor management: management of full-time AHO employees (drivers, cleaners of production and office premises, loaders, janitors): planning schedules, task control, participation in recruitment, searching for, concluding contracts with and controlling the quality of work of contractors (cleaning, waste removal, laundry for workwear, landscape maintenance, etc.), conducting labor protection and fire safety briefings for subordinates
- Budgeting and reporting: formation of the AHO budget for operational expenses (items: detergents, workwear, household goods, contractor services), cost monitoring, search for optimization opportunities without compromising sanitary requirements, preparation of reports on inventory movement and work performed
- Administrative and facilities support: organization of minor cosmetic repairs of premises and furniture (engaging contractors or laborers), interaction with the technical service for engineering system repair requests, ensuring compliance with fire safety and labor protection requirements in the assigned areas (availability of primary fire extinguishing means, condition of evacuation routes, availability of instructions)
Requirements:
- 2+ years of experience as Head of AHO/Deputy Director of Facilities/Facilities Management Manager in an industrial enterprise, experience in enterprises with high cleanliness and sanitary standards (pharmaceuticals, food production, medical centers, laboratories)
- Experience in undergoing Rospotrebnadzor inspections, GMP inspections regarding sanitary condition of premises and documentation
- Knowledge of regulatory framework: SanPiN for pharmaceutical production, GMP requirements for cleanliness, rules for handling medical waste
- Proficient in 1C (warehouse accounting, item ordering) and MS Office
- Experience working with contracts, primary documents (certificates, invoices, delivery notes)
- Skills in managing a small team (up to 10-15 people)
