Role Mission
To ensure the stability, synchronization, and predictability of the CEO's and team's operations, so that strategic decisions are implemented without failures, delays, or chaos.
This role is for you if
- You have at least 2 years of experience as a Business Assistant / Operations Manager / Coordinator / PM;
- You are used to working autonomously and taking responsibility from initiation to implementation;
- You think systemically and live by calendars, tasks, and checklists;
- You understand that an assistant is a point of reliability, not just a task executor.
This will highlight you as a professional if
- You have worked directly with a founder;
- You have participated in building business processes from scratch (created regulations, optimized workflows);
- You are proficient in modern tools like Notion, ChatGPT, Claude, Google Workspace, amoCRM.
A plus (but not critical)
- Experience in FinTech / startups;
- Finance or Foreign Economic Activity education;
- Experience in sales or recruiting.

What you will do
Operational Support
- Manage and control tasks of the CEO and team (Kanban / trackers / roadmaps);
- Support a fast "startup" rhythm: statuses, deadlines, synchronization;
- Prepare information and context for decisions;
- Record decisions and agreements.
Processes and Systems
- Maintain and develop the knowledge base (Notion);
- Administer CRM: control correctness, integrations;
- Oversee contractors: search, scope of work, control of deadlines and quality;
- Administer the hiring process (funnel, candidates, statuses).
Success in the first 90 days (transparent and specific)
30 days: Order in calendar/tasks/amoCRM, a unified weekly rhythm; a basic version of the wiki; contractors found and engaged to close 3 IT tasks; sales scripts v1 and regular reviews/role-playing; in-house specialist hiring funnel launched.
60 days: No overdue tasks or "lost" tasks; wiki updated and actively used; LLM handles initial client communication; 3 vacancies filled (+3 people in the team); sales scripts v2 based on call outcomes.
90 days: Processes "on rails", CEO spends less time on routine; the team moves faster on tasks and deals; hiring operates as a system; the first 10 investor pitches made (organization, materials, follow-up).
