Periodika** is a service for printing photobooks and other products for preserving family stories.
We are looking for an Operations Manager to help us keep the entire physical product loop under control: production, materials, contractors, quality, and logistics.
This role is for someone who enjoys diving into complex processes, bringing order, and driving tasks to completion. You don't need to wait for detailed instructions — it's important to be able to gather information yourself, find solutions, involve the right people, and monitor the results.
What you'll be doing
- Coordinate production — be the main point of contact between Periodika and production sites, monitor deadlines, quality, and resolve emerging issues.
- Manage materials and inventory — track stock levels, forecast needs, plan purchases and production considering sales and seasonality.
- Be responsible for product quality — analyze defects and claims, identify systemic causes of problems, and drive corrective actions to completion.
- Work with contractors — search for and compare manufacturers, negotiate terms, control quality, deadlines, and costs.
- Launch new physical products — transform marketing and team ideas into clear technical specifications, find solutions for materials and production, calculate budgets, and bring projects to the finished product.
- Control logistics — track order movement, resolve issues with carriers, work with losses and damages, and establish claim handling processes.
- Improve operational economics — analyze expenses, look for opportunities to reduce costs and optimize contractor agreements.
- Bring order to operational processes — create clear spreadsheets, checklists, and work rules where manual actions and uncertainty currently exist.
What's important to us
We need a person who:
- quickly understands new and unfamiliar processes;
- can independently make decisions and set priorities;
- doesn't wait for instructions for every step;
- can ask the right questions and quickly find missing information;
- doesn't just pass problems on but proposes solutions;
- can simultaneously handle several diverse tasks;
- is attentive to deadlines, agreements, and figures;
- can persistently and constructively work with contractors;
- notices risks before they turn into problems;
- enjoys turning chaotic recurring processes into clear algorithms, templates, and instructions;
- remains calm with tasks that cannot be fully foreseen in advance;
- is interested in the product and the quality of the customer experience.
A love for stationery and books will be a big plus.
Experience and skills
Will be important:
- experience in operational management, procurement, production, logistics, physical product management, or project management;
- confident command of Excel or Google Sheets;
- ability to work with large spreadsheets, formulas, pivot tables, and forecasts;
- experience in searching for, evaluating, and managing contractors;
- negotiation skills for price, deadlines, and terms;
- ability to calculate the cost and economics of a production project;
- ability to clearly document decisions and statuses in writing.
Will be a plus:
- experience in printing, publishing, packaging production, merchandise, or goods;
- experience in inventory management and seasonal planning;
- understanding of logistics and contractor documentation flow;
- experience launching physical products in small runs;
- experience building processes from scratch;
- experience working with contracts and preparing claims.
Who this role is not suitable for
- A person who is only comfortable working according to a pre-written instruction.
- Someone who takes a long time to think and postpones decisions until the next meeting.
- Someone who considers passing on information to be sufficient results.
- A person who dislikes spreadsheets, calculations, and working with details.
- Someone who avoids difficult negotiations with contractors.
- A person who requires a supervisor for constant priority setting.
- Someone who explains delays by external circumstances but does not offer a solution.
Work format
Office, 5/2, in case of emergency situations – be available and coordinate the solution (they occur rarely).
Travel to production once or twice a month (30 minutes from the office).

You won't just be a coordinator between departments here. You will have real responsibility for how Periodika's product is physically created and delivered.
