Personal Assistant - Family Office - Cyprus
We are seeking an experienced Personal Assistant to join our Family Office in Limassol (on-site). The role will primarily involve providing assistance to the UBO, Head of FO and the office's operational team.
Key Responsibilities
- To support the family office operations by providing administrative support to the UBO, Head of FO and operational team
- Preparation of agendas, documentation and meeting notes as required, handling sensitive information with discretion and a high level of accuracy
- To carry out extensive diary management (maintain calendar) and coordination of meetings and calls, often over several time zones and ever-changing diaries
- To provide general PA support, including document preparation, basic bookkeeping and managing correspondence
- To be the primary contact for business associates, and service providers, ensuring smooth communication flow
- To organise business and private travel, including itineraries, arranging visas, travel, accommodation and restaurants, and entertainment as required
- Provide a personalized level of attention and support to ensure needs are met and maintained
- Execution and monitoring of personal requests of the UBO
- To manage ad-hoc projects as and when required by the UBO or Head of FO
- To observe a code of strictest confidentiality at all times.
Qualifications and Skills
- Minimum of 3 years of experience in a similar role, ideally in a family office or for a UHNW individual.
- Demonstrates a high level of autonomy, initiative and independence.
- Fluency in Russian and English.
- Excellent organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with strong attention to detail.
- Reliable and trustworthy, with a high degree of diplomacy and discretion - with the ability to build relationships at all levels.
- Exceptional communication skills for liaising with various stakeholders.
- Flexible and resilient, able to thrive in a fast-paced, high-pressure environment.
- Proficiency in Windows, including MS Word, PowerPoint and Excel.
- Excellent writing and proofreading skills.
- Proactive problem-solver, comfortable being the go-to person in the office.
- Has the flexibility to work additional/out of hours as necessary to meet the UBO’s needs as and when necessary.
