Over the past year, we have grown 6.5 times and aim to become leaders in digital commerce, as well as to go international.
We are looking for a Lead Business Assistant / Head of Family Office in Moscow – a strong operational leader who will take charge of managing the family office as a unified system for supporting the founders. This role is at the intersection of executive administrative support, chief of staff, operational management, research, and new initiative launches.
In essence, you will be responsible for ensuring the smooth operation of the assistant and manager team, supporting three executives with personal and business tasks, conducting market research and due diligence, coordinating the testing of hypotheses and minimum viable products (MVPs), as well as establishing a transparent system of statuses, data, and reporting, where any task and any project are visible in one place.
This is not a "purely administrative" position nor "only about strategy." We need a leader who can both manage people and get their hands dirty if the result requires it.
Scope of Responsibility:
Family Office Management
- Organize and maintain the family office in Moscow in working order: processes, priorities, statuses, meetings, escalations, task handover between employees, and execution control.
- Manage a team of 5–7 direct reports (assistants and managers).
- Ensure that the entire team works as a single mechanism with unified rules for prioritization, task tracking, and reporting.
- Build a "single source of truth" for tasks, projects, and assignments: spreadsheets / dashboards / statuses / responsible parties / deadlines / next steps.
Founder Support
- Provide support to 3 executives on personal and business matters.
- Oversee personal assignments: organizing trips, purchases, and personal matters, arranging travel, meetings, and household requests.
- Support founders with business tasks: research, market and niche analysis, material preparation, coordination of key initiatives.
- Work in close communication with executives: regular status updates, meetings, quick reaction to changing priorities.
Research, Deals, and New Initiatives
- Conduct comprehensive research: market, competitors, unit economics and metrics, fact collection and structuring, material verification (due diligence), preparation for negotiations and deals.
- Support hypothesis testing, new business directions, and MVPs with limited resources in the digital environment.
- Assist executives in making "launch / do not launch" decisions on new directions, partnerships, and projects.
- Participate in managing the portfolio of projects and business units: where to increase investment and attention, and what to rationally stop.
Data, Analytics, and Automation
- Maintain transparent tracking of processes and results: spreadsheets, dashboards, updated statuses, weekly and monthly reporting.
- Build simple but disciplined analytics for tasks, projects, and team workload.
- Search for and implement automation and AI-based tools where they genuinely reduce manual workload and improve control.
Experience and Skills Requirements:
Mandatory
- Proven experience in leadership roles managing teams of up to 10 people.
- Experience managing assistant, operational, or project support teams.
- Experience supporting top executives / founders / multiple executives simultaneously.
- Experience handling personal assignments: travel, purchases, logistics, private requests.
- Strong experience in market and business research, due diligence, and deal preparation.
- Experience launching or supporting the launch of digital products, IT projects, and MVPs with limited resources.
- Ability to decompose a problem into a set of specific tasks, responsible parties, and deadlines.
- Ability to work with spreadsheets, analytics, data, and status reporting.
- Advanced English language proficiency.
- Willingness to travel on business.
- Willingness to deeply engage in processes and take personal responsibility for team results.
- Practical understanding of AI tools and automation, including solutions like n8n / LLM / agent workflows.
Will be a plus
- Experience working in a family office / private office / private banking / high-net-worth client support.
- Experience working in multiple jurisdictions and international coordination.
- Experience building a management system, reporting, and consolidated dashboards.
- Experience interacting with external consultants: lawyers, tax advisors, investment partners, banks.
