The Project Implementation Department team is looking for an Administrator who will help increase the efficiency of creating, developing, and operating information systems and digital services in the transport sector.
We are looking for a strong specialist with an IT background who can work closely with the Project Manager, has a perfect understanding of document flow, and can organize large volumes of information.
The Project Implementation Department is responsible for planning and coordinating work on the implementation of measures under the Departmental Transport Digitalization Program. Creating results is our main task. We build the full project implementation cycle – from procurement procedures (44-FZ) to the replication of services in the regions of the Russian Federation.
Responsibilities:
- Maintaining project record-keeping and document flow (processing, approving project documents, distributing working materials, creating and maintaining project work folders, preparing and sending documents – letters, agreements, orders, directives, protocols, maintaining project document archives);
- Maintaining a calendar and managing meeting schedules; preparing and conducting project meetings, conferences, and presentations (notifying participants, booking rooms and passes, preparing handouts, keeping and distributing minutes, etc.);
- Preparing drafts of presentation materials for projects;
- Fulfilling the Project Manager's assignments related to current project activities;
- Reviewing and working with project reporting materials.
Role in project implementation:
- Coordinating work, monitoring project timelines and results;
- Organizing and preparing necessary documents for project procurement procedures;
- Maintaining business correspondence and developing project documentation;
- Organizing acceptance procedures.
Requirements:
- Higher education
- Knowledge and practical experience in IT project administration;
- At least 1 year of experience in a similar position and/or at least 3 years of experience in a relevant functional area.
- Ability to effectively prioritize;
- Experience in projects for the creation/development of state information systems will be an advantage.
- Business correspondence skills – mandatory.
- Office applications, knowledge of MS Project/Jira/Confluence/similar products – desirable
- Fluent oral and written communication skills;
- Willingness to process a large amount of documentation and work in multitasking mode.
It will be an advantage if you:
- have experience working with project management applications (MS Project/Jira/Confluence or similar);
- have experience working in the transport industry;
- are proficient in modern project management methodologies.
Conditions:
- Decent (market) level of official salary (discussed at the interview);
- Work schedule 5/2, Mon - Fri 09:00-18:00 (Friday is a short day until 16:45);
