Chief Operating Officer for Kaiten Workflow Management Service

The workflow management service Kaiten is seeking a Chief Operating Officer to establish an effective administrative system for the company and turn it into a competitive advantage. This role is about systems, processes, and speed. You will create conditions where business leaders and product teams work with maximum efficiency, and the administrative system accelerates, not hinders.
Kaiten is a Russian B2B SaaS company (Skolkovo resident) developing a workflow and project management system. We are among the top 15 SaaS solutions in Russia, work with major companies, and are actively developing our AI capabilities.
Key Task:
Build an "administrative machine" where:
- Financial closing happens in days.
- Contracts are approved quickly and transparently.
- All internal processes are predictable and require minimal manual effort.
Responsibilities:
Financial Domain:
- Management of accounting and financial accounting: speed, accuracy, transparency.
- Control of budget, P&L, unit economics, investor reporting.
- Cost reduction and improvement of cost efficiency.
Legal Domain:
- Reducing contract approval times without sacrificing quality.
- Ensuring legal stability, compliance, and interaction with regulators.
Administrative Vertical:
- Personnel accounting and HR administration.
- Internal IT infrastructure and system administrators.
- Office management (AHO), business administrators, contractor management (search, onboarding, control, claims).
Risk Management and Representation:
- Monitoring the external environment: laws, taxes, regulations.
- Managing Skolkovo resident status: reporting, benefits, fund requirements.
- Representation functions: government bodies, investors, key clients.
Candidate Expectations:
- Experience in building or scaling a back-office in a technology company (SaaS, IT, digital).
- Understanding of B2B SaaS: unit economics, MRR, churn, contract management with enterprise clients.
- Proven track record in process optimization: you can demonstrate how you made things faster and cheaper.
- Proficiency in automation tools, mandatory experience using AI to accelerate processes.
- Experience with Skolkovo residency: regulations, reporting, tax benefits, compliance.
- Systemic thinking: you identify root causes, not just firefight.
- Emotional resilience: you separate emotions from work and focus on results.
- Proactivity: you don't wait for instructions; you propose solutions.
